How to save time and convert applicants faster

It might be especially difficult right now for staffing firms to maintain the flow of candidates into open positions. Using your time effectively is crucial, and these tips can help you ensure that you’re making every minute count.

Choose quality over quantity

Getting huge numbers of applicants may sound great, because you want to place as many candidates in open positions as possible and having a larger pool to work with seems like a good idea. But remember: the goal isn’t to get the most applications, it’s to get the most hires. In reality, more applicants always equals more work – and more of your time.

Many recruitment platforms will boast of the high numbers of applicants they can serve up, but what you should be looking for are platforms that use matching technology to deliver higher-quality applicants. A system that focuses on relevance and automatically filters applicants for you can be a major time saver.


Just because someone applied, doesn’t mean your job is done. Candidates have been known to drop out at every step of the hiring process, even in today’s job market. They simply don't have time. From their perspective, the process starts when they submit their application. And from that point on, candidates want more communication, not less.

Acknowledging that their application has been received may not seem like a big deal, but 76 percent of job seekers expect a personalized email letting them know someone received their application, and 82 percent expect employers to keep them updated throughout the hiring process.

With a large volume of applicants and job seekers, maintaining continuous communication may seem difficult and time consuming, but it doesn’t have to be. The best applicant tracking systems include functions that make emailing and corresponding with applicants fast and easy. Investing a little time now to make sure you’re using these functions to their fullest extent can save you much more time in the long run.

Streamline your tools

Using the right tools can make all the difference. The time it takes to switch back and forth between multiple platforms with different logins can really add up, especially if those tools don’t integrate well together. Streamline your process by choosing tools that are designed to work together and remove some of the hassle from your daily tasks.

Use sources that convert

Another easy way to optimize your time is by using sources with the highest conversion rates. This isn’t to say you should put all of your eggs in one basket. Your sourcing strategy should still include a variety of sources like referral programs, job boards, direct sourcing methods and career fairs. Yet, when choosing which sources to prioritize, knowing that your partner has a high conversion rate will help you determine where to best focus your time and energy.
